Project Management Office Support:
- Coordinate recurring and ad hoc meetings for the PMO and Projects & Services Director, including scheduling, invitations, and agendas.
- Support the administration of Microsoft Dynamics 365 and maintain standard user-access information.
- Provide first-line assistance for routine system questions, particularly regarding time-entry procedures.
- Refer technical, complex, or non-standard system issues to the appropriate system owner or specialist.
- Conduct monthly checks of organizational time-entry records for completeness and consistency.
- Prepare reminders and follow up with users and responsible managers when information is incomplete.
- Support the assignment of project IDs to clinical studies and research projects.
- Help maintain accurate project databases, including project status, ownership, and related information.
- Contribute to improving administrative procedures, templates, guidance, and standard PMO processes.
- Support administrative quality checks of study documentation and Trial Master File records using established checklists.
- Record findings and alert the appropriate team members when gaps or inconsistencies are identified.
- Conduct quarterly reviews of open quality events and follow up with project managers to support timely resolution.
Services Team Support:
- Respond to standard requests from commercial users concerning EORTC Quality of Life questionnaires, materials, and related services.
- Provide approved information regarding access conditions, licensing requirements, and terms of use for EORTC copyrighted materials.
- Escalate contractual, scientific, licensing, or other non-standard questions to the appropriate colleagues.
- Support the delivery of questionnaires, certificates, and other standard documents after required approvals have been confirmed.
- Liaise with Quality of Life, Finance, Contracts, and other internal teams to obtain or communicate necessary information.
- Prepare invoice information and submit invoices through external client portals under appropriate supervision.
- Maintain accurate internal service and invoicing records.
- Follow up when required information is missing or incomplete.
- Assist with periodic licensing-record reviews by comparing reported questionnaire use with existing agreements.
- Document potential discrepancies and refer them to the responsible team member for assessment.
- Maintain shared mailboxes, trackers, databases, and filing systems according to EORTC procedures.
